I want to share my personal experience with batching. As someone deeply invested in time and task management, batching has always intrigued me. I’ve delved into numerous blogs and YouTube videos on the topic, fascinated by the concept. However, despite my interest, I’ve never been able to fully embrace it myself.
It wasn’t until I stepped back and broke free from the rigid, conventional definition of batching that I realized I’ve been batching tasks all along. It dawned on me that my approach to managing tasks aligned with batching principles. Today, I aim to expand your perspective on batching and inspire you to explore various ways you can incorporate batching into your routine.
Using Batching To Navigate Efficiency In Home And Business
Batching, essentially, involves grouping scattered tasks together and tackling them in one concentrated effort, similar to time blocking. Initially, I perceived batching as completing all tasks in one sitting and not revisiting them for a month. However, I’ve come to understand that there are different levels to batching, and I may not be at the highest level. Given the fast-paced nature of my life, I’ve had to find my own rhythm with batching. I hope you can discover your own approach to batching as well, as it offers significant benefits for both your home and business life.
The time-saving potential of batching is truly remarkable, and I’m still discovering what this concept means for me. Initially, I believed I was completely opposed to batching, preferring to break tasks into smaller, more manageable chunks. However, as I delve into batching and share examples with you, it’s evident that my previous understanding was not entirely accurate. While some people can tackle all their laundry in a single weekend, that’s not feasible for everyone, especially busy moms balancing multiple responsibilities. My goal is to inspire you and ignite your imagination about the possibilities of batching, even in the midst of a hectic schedule juggling home and work responsibilities.
Grab a piece of paper and divide it into two sections with headers at the top: “Home” on the left and “Business” on the right. We’re about to explore eight ways to save significant time through batching, starting with strategies for the home. Let’s dive into the home section first.
#1 Cooking In Batches
The first strategy is to batch any cooking tasks whenever possible. Now, this doesn’t necessarily mean you have to meal prep an entire week’s worth of food on a Sunday. I’ve tried it, and it’s incredibly time-consuming. It simply isn’t feasible, especially when dealing with young children, like I was at the time. Even now, with older kids, it’s still a challenge to find the time unless I’m willing to sacrifice family events.
When it comes to cooking, there are several tasks you can batch to save time. One approach is to batch your meal planning instead of deciding day by day, which often feels more like winging it than planning. Start by planning for a week at a time, and my personal goal is to extend this to planning for 30 days ahead and batching more meals in bulk.
#2 Batching Lunches
Batching the task of packing lunches can also save significant time. Even if you can only batch two or three days’ worth of lunches at a time, it’s still a worthwhile effort that can simplify your routine and free up time on busy mornings.
#3 Outfit Planning
Batching the task of planning outfits can be incredibly time-saving and satisfying. Whether it’s organizing outfits for the entire week for your kids or planning your own wardrobe for the upcoming days, this simple practice can streamline your mornings and alleviate daily stress. It’s incredibly efficient to tackle a large chunk of emails all at once and then move on. Secondly, when it comes to managing your inbox, I advocate for a disciplined approach. Set specific times, ideally once or twice a day, to address your emails. Avoid the temptation to constantly check and respond throughout the day. By establishing dedicated email windows, you’ll streamline your workflow and reclaim valuable time for other tasks. Trust me, it’s a game-changer.
#2 Batching Social Media

Number four on our list is dedicated to calendar planning for your business. Surprisingly, many CEOs and business owners lack solid plans for events, projects, and overall commitments on their calendars. By dedicating a focused two to three hours, preferably with some background music or in the company of supportive entrepreneur friends, you can map out the next quarter of your business with clarity and purpose. This quarterly planning session not only ensures a clear roadmap for your business but also sets you up for success in the long run.
We’ve elevated this practice to an annual tradition during my CEO retreats, where we dive deep into our business calendars. We meticulously map out our sales, promotions, support activities, and events, ensuring alignment with our personal lives and family commitments. This holistic approach considers everything from school vacations to family trips, resulting in a beautifully synchronized business plan that complements our lifestyle seamlessly. I highly recommend incorporating this practice into your business for enhanced clarity and harmony between your professional and personal worlds.
#5 Client Work
Number five, batching client work. I can’t emphasize this enough. Set designated days for client work, clearly communicate expectations, dive in, complete the tasks, and then step away. By establishing this structured approach, you free yourself from the constant demand of client work, allowing for more focused and efficient productivity.
#6 Batching Project Work
Number six, project work. Dedicated project days are a game-changer for productivity. By batching project tasks into focused sessions, you tap into your highest level of productivity and produce top-quality work. Fragmented project time not only hinders your creativity but also wastes valuable time. Remember, it takes approximately 30 minutes for your brain to enter a creative state, so optimizing your project work with longer, uninterrupted sessions yields the best results.
#7 Event Work
Number seven, event work. Similar to project work, but with a focus on tasks related to upcoming events in your business. Batching event work is crucial for ensuring continuity and a seamless experience for event participants. By dedicating a solid block of time to fully immerse yourself in the event planning process, you minimize the risk of costly errors and ensure a cohesive experience from start to finish.
Any virtual assistants (VAs) I’ve trained, and will continue to train, on event and project management learn the importance of immersing themselves deeply into the experience. A successful project and event manager follows the breadcrumb trail from start to finish, ensuring a cohesive and high-caliber outcome. By dedicating sufficient time and effort to batching this work, CEOs and managers can elevate their event production to the level they desire, minimizing errors and maximizing success.
#8: Batch Your Meeting Days
Number eight, last but not least, one of my top recommendations for batching in your business is to designate specific meeting days. Consolidate your meetings and limit them to one to two days a week, avoiding the scattered approach of having meetings every day. Personally, I reserve one day for coaching and keep two other days flexible between Tuesday and Thursday for additional meetings as needed. By batching meetings in this way, you free up valuable time to focus on your work without interruptions, maximizing productivity and efficiency.
