Productivity

Do you ever feel completely buried in overwhelm—like you’re just barely keeping your head above water in an endless game of whack-a-mole? No matter how fast you move, there’s always one more thing—another task, another email, another kid needing something. You’re scrambling to keep up, smacking them down as fast as you can, just hoping that this time, you’ll finally get ahead.

But instead, it just keeps coming. The faster you go, the faster everything piles up. It’s exhausting, and overwhelming, and feels like no matter what you do, you’re always behind. Sound familiar?

This, my friend, is the overwhelm cycle. And if you’re feeling exhausted, stretched too thin, and like you’re constantly playing catch-up, I want you to know—you are not alone.

Welcome back to Systemize Your Life! Today, we are tackling one of the biggest struggles I see women facing over and over again: the overwhelm cycle. It keeps you spinning your wheels and feeling like you’ll never get ahead.

I’ve been in your shoes. And after more than six years of coaching thousands of women on how to move from overwhelmed to organized—in their homes, businesses, schedules, and even in getting their family on board—I can tell you this: there is a way out.

Today is all about breaking free from that constant stress and exhaustion. I’m going to break down exactly what’s keeping you stuck and share three simple, practical steps you can take this week to start feeling immediate relief.

Hey, I’m Chelsi Jo! I help busy moms create simple systems that bring peace and productivity to their homes and businesses.

If you’re tired of feeling overwhelmed and drowning in complicated routines that don’t work, you’re in the right place. I’m all about real solutions that fit into the life you’re already living — not overhauling everything, just practical strategies that actually make a difference.

Let’s ditch the chaos and get you back in control. Ready? Let’s dive in!

Understanding The Cycle Of Overwhelm

First, let’s talk about the overwhelm cycle. This is something I see all the time and something I teach on regularly because, honestly, it’s a struggle so many women face. I’ve been deep in this cycle myself, and I know just how frustrating it is to feel like no matter what you do, you’re always behind.

I’ve been working on a brand-new resource to help break this cycle for good (it’s coming soon!), but for now, I want to walk you through the three specific phases of the overwhelm cycle—so you can recognize where you’re at and start taking steps to break free.

Overwhelm Phase 1: The Whack-a-Mole Phase

The first phase of the overwhelm cycle is what I call the Whack-a-Mole Phase—where you’re stuck reacting to whatever pops up.

An email comes in, a text dings, a Slack message, a kid needs something—BAM, BAM, BAM! You’re just scrambling to handle it all, thinking that if you move fast enough, you’ll finally catch up.

But here’s the kicker—the faster you go, the more things pop up. It’s like that arcade game where you’re smacking those little creatures as fast as you can, but they just keep coming.

You think, If I just go a little harder, push a little more, I’ll get ahead. But instead, you’re stuck in a cycle that keeps you overwhelmed. It’s completely opposite of what you’re trying to accomplish, right?

Phase 2: The Firefighter Phase

This is where things shift into full-blown fight-or-flight mode—or as I like to call it, the Firefighter Phase. My husband is a firefighter, and I love using this analogy because, at this point, you’re basically running on adrenaline, stress, and survival mode.

Everything feels urgent. Your cortisol is through the roof. You’re putting out fires left and right—not just today, but all week, all month… maybe even all year. And if you started this year stuck in the Whack-a-Mole Phase, this is exactly where it leads.

Some people can hang in this phase for a while—maybe they have the energy, the support, the financial resources to keep juggling it all. But let me tell you from experience, it catches up with you.

Constantly firefighting is exhausting. And the worst part? The fires don’t stop. They just keep coming because you’re stuck reacting instead of fixing the root cause.

Overwhelm Phase 3: The Burnout Wall

And this is where it all catches up with you—the Burnout Wall.

You’re exhausted. You can’t think straight. Maybe anxiety and overwhelm are hitting you hard, or you’re feeling completely drained with zero motivation to keep going. Burnout looks different for everyone. For some, it shows up as stress and irritability. For others, it’s exhaustion, weight gain, or feeling stuck and unsure of what to do next.

It doesn’t just affect you—it spills over into your relationships. Your patience with your kids is thinner, your marriage feels strained, and even your relationship with yourself starts to suffer. Your creativity? Gone. Even the simplest tasks feel like too much.

But here’s the good news—you don’t have to stay here.

I’m about to share three steps that will give you immediate relief this week. But if you’re ready for a long-term solution—one that keeps you out of the overwhelm cycle for good—then I’d love to help you inside my programs. Let’s break this cycle once and for all.

“Breaking the overwhelm cycle isn’t about doing more to get ahead. It’s about doing things a little bit differently.”

3 Simple Steps to Break the Overwhelm Cycle Today

Alright, let’s dive into the good stuff—how to finally break free from the overwhelm cycle.

Here’s the good news: you are not stuck. There are three simple, powerful steps you can take right now to start shifting out of overwhelm and back into control. No waiting until next week, no overcomplicating things—just real solutions you can put into action today.

So grab a pen and paper (yes, actually write this down!), because these steps are about to change the way you manage your time, your tasks, and your mental load. Let’s do this!

Breaking The Overwhelm Cycle Step 1: A Prioritized Brain Dump

Alright, step one is all about the prioritized brain dump. I mentioned this at the very start of the podcast, so if you’re new or haven’t listened in a while, go back to the beginning where I talk about how brain dumps can help reduce stress and anxiety. It’s a game changer, and I’m going to break it down for you here.

So, how do you do a prioritized brain dump? Take your piece of paper and write down everything that’s swirling in your head right now.  Every single thing. Once you’ve got it all out, take a look at the list and start sorting it into ones, twos, and threes.

  •  Your ones are the tasks that have to get done this week. If they don’t, there will be consequences—whether it’s financial, deadlines, or something else important.
  • Your twos are things that don’t have to happen this week but should be done soon—think next week or by the end of the month.
  • And threes? Well, those are the “nice-to-haves” that don’t really matter when they get done.

Be real with yourself here. If everything on your list is a one, you’re not being honest with yourself. Not everything is urgent, I promise! I do this all the time when I’m in the overwhelm cycle. It’s like, “Okay, Chelsi, you took on way more than you should’ve, but it’s fine. We’ll handle this.”

Sometimes those moments of hustle are great, but when you get stuck in it, this is the best place to start.

Breaking The Overwhelm Cycle Step 2: 15-Minute Tidy Sprint

Okay, let’s dive into step two. Now we’re going to do something completely different to get you out of the overwhelm right now. You’ve got your list, you know what to focus on—awesome. But here’s a little trick I use to take action and give myself a fresh breath: a tidy sprint.

Set a timer for 15 minutes and speed tidy. This is a little different from the tidy cues I teach inside my programs, but if you haven’t established those yet or aren’t consistently tidying up, you might find yourself in a place where it feels like there’s evidence of everyone who’s been in your house.

Shoes by the door, bags dropped here, dishes from last night’s dinner, or toys scattered around—it’s everywhere, and it’s overwhelming.

So, here’s what I want you to do: set that timer for 15 minutes, and head to the one main space you use the most. My bet is, it’s the kitchen.

You’d be amazed at how much you can get done in 15 minutes—almost all the dishes will be taken care of. And if your kitchen’s not too bad, you could probably get the whole space tidied up.

If you’re feeling really motivated after 15 minutes, go ahead and set the timer for another 15 minutes. But honestly, anyone can power through a quick 15-minute tidy.

Put on some music, set the timer, put your phone away, and just dive in. It’s not about deep cleaning—just a fast clean-up to give you some mental clarity.

Clear off your desk, tidy the kitchen island, and put things back where they belong. When you’re done, that space will feel totally clutter-free.

Breaking The Overwhelm Cycle Step 3: Set Up for Tomorrow

Here’s the third and final step to break free from the overwhelm cycle, and it’s called setting up your day for tomorrow. Simple, right? But before you hit the pillow tonight, take just 10 minutes to get yourself ready for the next day.

Pick out your clothes, pack your bag, get the kids’ lunches ready, and make sure you know who’s handling drop-offs and pick-ups. There are so many little things you can prep now that’ll make tomorrow run so much smoother. Future you is going to thank you for this!

Trust me, you’ll be so grateful for this small gift of time. Just 10 minutes. The peace of mind, better sleep, and the joy of feeling more intentional and a bit more organized—it’s all coming your way tomorrow. Breaking the overwhelm cycle isn’t about doing more to get ahead; it’s about doing things a little differently.

Breaking the Overwhelm Cycle for Good

Alright, let’s recap everything we covered today. First up, we talked about prioritizing your brain dump list. Get everything out of your head, and then sort through it so you know exactly what needs your attention right now and what can wait. This will help you feel way less overwhelmed and way more in control.

Next, we dove into the power of a quick 15-minute tidy sprint. I know it sounds simple, but trust me, tidying up for just 15 minutes can do wonders for your mindset and your space. You’ll clear out the clutter, give yourself a mental reset, and suddenly, things don’t feel as chaotic.

And finally, we wrapped up with setting yourself up for tomorrow. Take just 10 minutes tonight to prepare for the next day—pick out your clothes, pack your bag, get the kids’ lunches ready, whatever you need to do. Those small moments of preparation will pay off big time in the morning and will give you that peace of mind you’re craving.

A little bit of preparation really does go a long way, and these simple yet powerful changes are going to help you shift from that reactive, overwhelmed place to living a little more intentionally. Give these a try this week and see how much lighter, more focused, and less stressed you feel.

Frequently Asked Questions

What if I don’t have time to do a brain dump?

If you have time to sit in the overwhelm, you have time to do a brain dump. Seriously, it takes just five minutes to get all those swirling thoughts out of your head and onto paper. And once you do? Instant clarity. You’ll know exactly what needs your attention and what can wait, so you can stop spinning your wheels and start making real progress. So grab a notebook, set a timer, and let’s clear that mental clutter!

How do I keep from falling back into the overwhelm cycle?

Consistency is everything. When you make these three steps a daily habit, you’ll start to notice a huge shift—you’ll spend way less time feeling scattered and reactive, and way more time feeling in control and intentional with your day. The more you do this, the easier it gets, and before you know it, overwhelm won’t be running the show anymore. Stick with it, trust the process, and watch how much lighter life starts to feel!

I feel guilty when I don’t finish my to-do list. What should I do?

Shift your mindset, friend! A never-ending to-do list? That’s totally normal. There will always be more to do, but that doesn’t mean you have to stay stuck in overwhelm. The key is to focus on progress, not perfection. Getting a few high-priority tasks checked off is a win—it moves the needle forward and helps you build momentum. So let go of the pressure to do it all, and celebrate what you do get done. That’s where the real magic happens!
