Business Efficiency System #1: Daily, Weekly, and Monthly Tasks (DWM)

Your Daily, Weekly, and Monthly (DWM) tasks are the backbone of your business. I talk about them all the time because if you don’t have a system for them, you’re setting yourself up for overwhelm.

These tasks need to happen regularly, but the real question is—what should you NOT be repeating every single day? Without a system, everything will feel urgent, and that leads straight to burnout.

Here’s how it works:

  • Dailies—tasks that happen every day. 
  • Weeklies—things you do once or twice a week.
  • Monthlies—tasks that happen once or twice a month.

These should all be part of a structured system so you’re not constantly figuring out what needs to be done. That’s why I created my Cockpit System, one of my four essential Core Workflows. Without a DWM system, you’re making life harder than it needs to be.

I see business owners struggle with this all the time—even my husband (yes, I’m still coaching him!). If you don’t have this system in place, you’re wasting time, increasing stress, and making it impossible to prioritize what really matters.

System #2: Content Ideation System

Let’s talk about your Content Ideation System because if you’re still scrambling for ideas at the last minute, it’s time to fix that.

Whether it’s short-form content (like social media posts) or long-form content (like podcasts, blogs, or YouTube videos), you need a system to consistently come up with ideas — without the stress.

I’ve been creating two podcast episodes a week for years and now add one YouTube video to the mix. That’s three fresh pieces of long-form content every week, and I wouldn’t keep up without a solid content ideation system.

Here’s how to make it work for you:

  1. Set aside time for research — Content ideas don’t just appear. Make time to intentionally research and brainstorm.
  2. Create a central idea bank — Keep a running list of ideas (Google Docs, Trello, or a notes app work great!).
  3. Organize by content pillars — Every piece of content should fit into a core category (for me, it’s Home Management, Business Systems, and Growth Strategies).

Once you’ve got this system in place, creating content becomes a breeze. You’ll never again stare at a blank screen wondering, “What do I post today?”

Business Efficiency System #3: Content Calendar System

Let’s dive into system number three—the content calendar! If you’re doing any kind of marketing, consistency is key, and a content calendar is a must. It’s one of the four core workflows I swear by and essential to keeping things on track. No more gaps or scrambling!

Your content calendar should cover everything: platforms, posting dates, and content details. Plus, it needs to sync with any upcoming promotions or launches. Don’t forget your regular scheduled content (RSC)—your content routine and how you weave in the promotional stuff.

System #4: Content Creation System

Let’s dive into the fourth essential system—content creation. We’ve covered the content calendar and ideation, but creating content needs a system too.

Here’s the deal: I work just 20-25 hours a week, and content creation is a big part of that. But I’ve learned that sitting down to create content can throw off everything, so having a solid system is key.

Here’s how I do it: use AI (like ChatGPT) to organize ideas and create a repeatable flow. For example, this podcast episode is based on an outline I gave to ChatGPT, which organizes my thoughts into bullet points so I don’t start from scratch. This saves me hours every week!

Also, create templates for captions, emails, show notes, and blogs in ChatGPT. It’ll organize everything for you. I use Milanote to keep it all organized in a simple, effective way. It’s affordable and makes content creation so much easier.

Once you systemize it, content creation becomes a breeze!

Business Efficiency System #5: Promotion Calendar

Let’s talk about system number five—the promotion calendar. We covered the content calendar, but you also need a separate calendar just for promotions. Why? Because launches, sales, and special events need to be planned out in advance.

Here’s how we do it: We map out all our promos for the year in December so we’re never scrambling. Then, we’re always looking ahead one, two, or even three months to stay on track. This system keeps things running smoothly and ensures every piece of content leads my audience to the right offers, freebies, and resources at just the right time.

Sometimes it’s directing them to programs like a free challenge or workshop, or pointing them to another resource. The promotion calendar is the system that keeps everything running smoothly and ensures our marketing is always intentional!

System #6: Email Marketing System

System number six—your email marketing system! A lot of our systems focus on marketing because, let’s face it, there’s a lot to organize. But at its core, each of these systems is about how things function, and email marketing is key to business growth.

Your email marketing system should work for you. Here’s how:

  • Monthly email planning – Sit down at the start of each month and plan out your emails.
  • Automation & sequences – Set up your backend, whether you use ConvertKit, Kajabi, or Flowdesk. (BTW, I’ve used Flowdesk from the start, and you can grab 50% off your first year right HERE )

Your email list is gold, but I hear it all the time. “I should probably do something with my list” or “It’s on the back burner.” I’ve been there too. That’s why we put a system in place so it never gets left behind. When your content, strategy, and automation are working together, email marketing helps grow your impact and income.

System #7: Client Tracking System

System number seven—your client tracking system (or client workflow)! If you have clients, customers, or a downline, you need a way to track everything.

This system should cover your leads, onboarding, service delivery, and offboarding. Think through every step: How do clients interact with you? Slack, Voxer, Zoom? What happens after you deliver your service? Are there follow-up materials? Everything needs to be systemized so nothing slips through the cracks.

Here’s the deal. I’ve used CRMs like HoneyBook and Dubsado, but even with a CRM, I always recommend an extra layer of organization to track every client from start to finish without living in your inbox.

A streamlined client workflow doesn’t just keep you organized—it creates an amazing client experience. That’s how you get great testimonials, repeat business, and word-of-mouth referrals. Make sure your system is working for you!

Business Efficiency System #8: Standard Operating Procedures (SOPs)

System number eight — SOPs (Standard Operating Procedures). Your business needs repeatable processes for everything you do. If you don’t have them documented yet, trust me—SOPs will save you so much time, especially when you start building a team (or even if you already have one and don’t have them in place).

Here’s an easy way to start. As you train your team through Voxer or Zoom, have them document each step in an SOP template. Or keep it simple. Record yourself doing a task like writing an email using Loom and it will generate a written SOP for you. You can also drop it into ChatGPT to organize everything.

I use a clean and simple SOP format that keeps things easy to follow without the overwhelm. There’s no one right way to do it. The key is to have SOPs in place so tasks get done the right way every time. Systemizing this is a total game-changer for your business backend.

System #9: Goal Tracking System

System number nine—goal tracking! This is my favorite system, and we go deep into it inside Systemized to Scale. Here’s the deal—you can’t grow what you’re not tracking.

Goal tracking is more than just numbers on a spreadsheet. It’s knowing exactly what you need to do every day to move the needle. Are you getting leads? Making sales? Hitting revenue goals? Working the hours you want? When juggling home and business, tracking the right goals is key.

The easiest way to track is with a simple KPI sheet that follows your strategic goals month after month. It keeps you focused and makes sure you’re on track to hit your annual goals. Here’s the secret sauce. You don’t need to overcomplicate it. You just need a system to:

  • Define your big goals.
  • Break them into quarterly projects.
  • Focus on weekly tasks that’ll get you there.

This system will change how you work, and once you implement it, you’ll wonder how you ever ran your business without it!

Business Efficiency System #10: Team Management System

If you’ve got contractors, VAs, or a team, you need a solid system to manage them. When you bring someone on, every part of your business should be organized — otherwise, you’re just throwing money away.

I’ve seen business owners waste tens of thousands of dollars because they weren’t tracking what their team was actually doing. One of my biggest wins? I helped a CEO save $30,000 a year by reviewing her team’s workload and cutting the fluff. That’s the power of a solid team management system.

I use MeisterTask and run everything through my Total Online Business Operating System (TOBOS), which I’ve tested with over 50 business owners. But whether or not you use mine, you need something to track your team’s tasks, meetings, communication, and daily operations.

A lot of people swear by EOS (Entrepreneurial Operating System) and it’s definitely a solid option, but it doesn’t go deep enough into the day-to-day needs of an online business. Without the right system in place, you’re wasting so much time and money.

I knew nothing about team management when I first started, but through trial and error, I found this system and honestly, it’s saved me more time and money than anything else in my business.

Nope! You don’t need fancy software to get started. A lot of systems can be managed with simple tools like Google Docs, spreadsheets, or Trello. The key is having a clear process, not just the latest tech. As your business grows and you need more automation or organization, you can invest in tools like MeisterTask, Flodesk, or Milanote. But for now, keep it simple and focus on making your systems actually work for you.

I feel overwhelmed—where should I start?

Start with your daily, weekly, and monthly tasks—what I call the DWM system. This gives you a solid foundation and helps you stay on top of everything without feeling overwhelmed. Once that’s in place and running smoothly, move on to content planning so you’re not scrambling to figure out what to post each week. The best way to prioritize is to look at what’s causing the most stress in your business right now. If something feels chaotic or like it’s eating up way too much of your time, that’s your sign to put a system in place ASAP.
